Terms and Conditions

1. Limitless Events and Party Planners provides the services described on the client/undersigned quote/invoice and stated in the package specifications. Limitless Events and Party Planners & the undersigned (client) are subject to these terms and conditions. All terms and conditions are at the discretion of Limitless Events and Party Planners.   

2. Hiring and Rentals

2.1 All rented equipment hired from Limitless Events and Party Planners and/or subcontracted suppliers, remains the property of Limitless Events and Party Planners and/or that subcontracted supplier. The client/undersigned becomes liable for all equipment/service(s) hired, upon receiving the order. This includes the following:

  • should Limitless Events and Party Planners outsource staff/entertainment/items /etc. from various subcontracted suppliers, or
  • should Limitless Events and Party Planner employees and/or subcontracted suppliers set up any hired item(s)/service(s) and/or including delivery of an order/service at the allocated venue provided by the client, stated on your quote/invoice/delivery note or otherwise agreed upon between both parties.

The client/undersigned is therefore liable for any costs incurred due to items being damaged, broken, lost or stolen off the property once items are in the care of the client and/or allocated venue/premises by the client.  

2.2 The client/undersigned is liable for all cost incurred should there be a cancellation and/or change of date for the event/hired item(s)/service(s) from Limitless Events and Party Planners and/or subcontracted suppliers.

2.3 All rented/hired equipment will be booked under the name of the client, and therefore does not make Limitless Events and Party Planners liable for any expenses due to breakage, damage, theft or loss. 

2.4 Limitless Events and Party Planners will not be held responsible for any loss, damage, stolen or broken items hired by the client/undersigned through our services/hiring and/or due to severe weather problems on the day, such as heavy rain and/or wind, etc.

2.5 A breakage deposit/fee will be required at the discretion of Limitless Events and Party Planners and subcontracted suppliers for all events/bookings/hiring of item(s)/service(s) rendered. The breakage deposit/fee will be proportionate to the total cost of that which is being hired and/or for services rendered and stipulated in the invoice/quote to the client/undersigned. This breakage /deposit fee will be refundable if no loss, theft, or damage was incurred within a 14-calendar day period. 

  • Should all items be returned in an acceptable manner and accounted for, the breakage deposit will be refunded within 14 calendar days. If an item is missing, comes back damaged or in a condition in which it cannot be used again, the Hiree will be liable to reinstate that item at its replacement value. This is not the same cost as the hiring price. This includes the crates and buckets in which the items arrived in.
  • Limitless Events and Party Planners does not accept replacement items purchased by the client/undersigned at any given time, Limitless Events and Party Planners are at the discretion to replace damaged / lost or stolen items, therefore, only financial compensation is accepted.

2.6 Limitless Events and Party Planners requires a non-refundable deposit to secure your booking of hired item(s)/ service(s). The non-refundable deposit will be calculated proportionately to the value of your quote/booking.  Under no circumstances will this non-refundable deposit be returned to the client however; this amount will be deducted from the total cost of your quote/invoice/booking.  

2.7 Limitless Events and Party Planners will not be held financially liable for any price increases of any subcontracted supplier and/ or VAT increases. (i.e. Venue, flowers, food, décor, photography, videography, cakes, marriage officer, DJ, lighting, tents etc.) The financial cost will therefore become the responsibility of the client. Limitless Events and Party Planners therefore advises clients to be aware of price escalations over one, two or three…year periods, depending on your event date. 

2.8 All delivery/set-up/strike (set-down) / collection and VAT are not included in hiring prices and will be added onto the cost price of item(s) hired/service(s) where applicable. Standard delivery / set up / strike (set – down) / collection fees apply from Monday to Saturday during working hours. Additional delivery / set up / strike (set-down) / collection fees are charged on Sunday’s, Public Holidays and after working hours.  

2.9 Cancellation of hired item(s)/service(s) will result in deposit fees (non-refundable deposit required to secure a booking) paid being forfeited and is at the discretion of Limitless Events and Party Planners as well the subcontracted supplier, and subject to Limitless Events and Party Planners and/or the subcontracted suppliers’ terms and conditions. Limitless Events and Party Planners will not be liable for refunding these deposit fees and will be at the expense of the client/undersigned. Please refer to cancellation policy, section 13.

3. Deposit, Boking Fees and Payment Plan

3.1 Deposit/booking fee

3.1.1 Limitless Events and Party Planners requires a 10% non-refundable deposit fee of the total amount of hired item(s)/ service(s). This percentage does not form part of the breakage fee allocated on the quotation. The amount must be paid within 48hours of your booking, as confirmation for service delivery or otherwise specified on acceptance of your quotation/invoice.

Should you wish to cancel, please refer to Limitless Events and Party Planners cancelation policy in section 13.

3.2 Payment Plan

Before any delivery of service(s)/hired item(s) and/or collection(s) take place, the below payment plan must be adhered to. This includes all hiring and/or services stipulated on invoice/quote provided by Limitless Events and Party Planners to the client/undersigned.

  • Limitless Events and Party Planners requires a 50% payment of the total balance based on invoice/quote provided, 30 calendar days prior to event date from date in which non-refundable deposit had been received in order to secure client/undersigned booking unless otherwise specified by Limitless Events and Party Planners.
  • Limitless Events and Party Planners requires balance in full of the total invoice 14 consecutive days to the event date/date for hired item(s)/service(s), unless otherwise specified by Limitless Events and Party Planners.

3.2.1 For all bookings confirmed that does not fall into the above-mentioned payment plan (section 3.2) the client/undersigned is required to make sure all payments are up to date to that of the above-mentioned payment plan (section 3.2). Should you confirm your booking and your event/hired item(s)/service(s) order is in less than 14 days, Limitless Events and Party Planners will require payment in full.

3.3 General Payment Information

3.3.1 Limitless Events and Party Planners will not be liable to refund the securing 10% non-refundable deposit fee (please refer to section 3.1). Should the event/function be cancelled under any circumstance at any given time and payment has been received as per payment plan (refer to 3.2), please refer to our cancellation policy (please refer to section 14) for refunds where applicable.

3.3.2 Limitless Events and Party Planners reserves the right to request payment in full for any particular service(s) and or item(s) hired and is totally dependent on the package and/or service selected OR services already rendered before cancellation OR postponement by client/undersigned.

3.3.3 No “Horse trading” will be tolerated, and is in breach of section 4.1.2 & 4.1.4. Should this occur Limitless Events and Party Planners has the right to withdraw from the event and will not be obligated to refund any deposits/booking fees or payments made. In turn and at the discretion of Limitless Events and Party Planners’, the client/undersigned is liable to pay for services rendered. 

3.3.4 Limitless Events and Party Planners reserves the right to alter their pricing structure at any time relative to the needs of the client/undersigned where applicable even in the instance when a quote/invoice or booking had been confirmed and payment received as per payment plan (section 3.2).

3.3.5 Should event(s)/hired item(s)/service(s) be postponed, all stock prices are subject to change, and original stock availability can change, and cannot be the responsibility of Limitless Events and Party Planners. 

3.3.6 Limitless Events and Party Planners is VAT registered. 

3.3.7 Limitless Events and Party Planners holds the right to retain all information of subcontracted suppliers in the event industry, and remains the intellectual property of Limitless Events and Party Planners.

3.3.8 Limitless Events and Party Planners accept EFT transfers only, unless otherwise specified. No cash/credit cards or cheques are accepted.

4. Consultations

4.1 Consultation (part 1)

4.1.1 Initial consultations that take place at Limitless Events and Party Planners premises are limited to a 30-minute period only and are at no additional cost to the client/undersigned. Any time used after the 30-minute period will be charged accordingly at the discretion of Limitless Events and Party Planners’, unless otherwise specified. Should the consultation take place at a venue determined by the client/undersigned, a travel fee will be charged, however the 30-minute period consultation will remain at no cost to the client/undersigned.

4.1.2 All discussions and ideas presented in the initial consultation or any consultation with Limitless Events and Party Planners, remain the intellectual property of Limitless Events and Party Planners, and cannot be reused in consultations with other external event planners and or Companies. Should the client(s)/undersigned not utilise Limitless Events and Party Planners as their service provider after a mock-up / site visit or design meeting, a design fee/administration/travel fee will be charged in lieu of hours spent. This fee will be determined by Limitless Events and Party Planners. 

4.1.3 Table mock-ups and travel will be at an additional fee to the client/undersigned, and is to be paid into the bank account of Limitless Events and Party Planners 48 hours before the commencement of the mock up (this covers travel, floral costs etc). Limitless Events and Party Planners reserves the right to not proceed with the mock-up should the mock up fee not be paid within the desired time frame. (Client(s)/undersigned will be allowed to take home their floral arrangements after the mock-up).

4.1.4 No photographs are to be taken during a mock up session. The design and décor of the table remains the intellectual property of Limitless Events and Party Planners up until the function date.

4.1.5 All consultations over and above the initial consultation will only commence upon receipt of deposit, this will reserve the services of Limitless Events and Party Planners, unless otherwise specified. 

4.1.6 Limitless Events and Party Planners offices/premises is situated at number 55 Walnut Road, Wetton and working hours are: 

  • Mon-Thurs: 08H00 – 16H30
  • Friday: 08H00-16H30
  • Sat: 08H00 – 13H00 (when applicable)  

4.1.7 Limitless Events and Party Planners’ office hours are by appointment only and are subject to availability due to functions setup/breakdown that take place on a regular basis. Should the client(s)/undersigned require meetings outside of the above-mentioned working hours; this must first be confirmed with Limitless Events and Party Planners and according to their availability. This will be at an extra fee, and is at the discretion of Limitless Events and Party Planners. 

4.1.8 Consultations can take place face to face, via e-mail, over the phone or for international client(s)/undersigned, via Skype. After the initial consultation, the method of communication will be established once the non-refundable deposit has been paid and arranged accordingly. Although other forms of communication can be used, they are still subject to an arranged appointment time between Limitless Events and Party Planners and the client/undersigned.

4.2 Consultations and overtime (Part 2)

4.2.1 Consultations are by appointment only and subject to personnel employed by Limitless Events and Party Planners’ availability. 

4.2.2 Any consultation(s)/call(s) after hours will only be accommodated if pre – arranged between the client/undersigned and Limitless Events and Party Planners.

4.2.3 Should the client/undersigned not accept the services of Limitless Events and Party Planners, according to what was discussed and the time spent can be charged at an hourly rate; this however will be at the discretion of Limitless Events and Party planners.

5. Death, loss or injury

5.1 Limitless Events and Party Planners will not be held responsible for any death, loss or injury incurred at any function or venue.  It is the responsibility of the client/undersigned to ensure that all safety measures are put into place prior to the function/event commencement date/time, i.e. hiring of medics, security, etc.

5.2 Children at events/functions are the responsibility of their parents or caregivers. This should be organised by the client/undersigned. No death, loss or injury of a child will be the responsibility of Limitless Events and Party Planners. 

5.3 Limitless Events and Party Planners will therefore not be financially or physically responsible for person(s) at any event/venue booked through Limitless Events and Party Planners. 

5.4 Limitless Events and Party Planners will not be financially or physically responsible for any personal item(s) at an event/venue, and is at the risk of the client/undersigned concerned.

6. Stationery/Flowers

6.1 Limitless Events and Party Planners will not be held liable for any mistakes made on final printed copies of any stationery i.e. invitations, save the dates, thank you, menu’s, table plans, name tags, wedding favours etc. It is therefore in the best interest of the client/undersigned to double check all wording and spelling before submitting final drafts to the coordinator.

6.2 Limitless Events and Party Planners will therefore not be held financially liable for any mistakes made; any corrections that need to be made will be at the cost of the client/undersigned concerned. 

6.3 Flower arrangements that have been confirmed and approved by the client/undersigned during the final mock up session is finalised and cannot be changed, unless otherwise agreed upon by both parties.   

6.4 If the client/undersigned wants to change the flower arrangement or any item(s) stipulated in the invoice/quote, after it has been approved, this will be at an extra cost and charged accordingly at the discretion of Limitless Events and Party Planners. 

6.5 Flower availability is subject to change according to seasons as well as weather or unforeseen circumstances. This could influence the flower arrangement and cost of that flower arrangement. Prices are therefore subject to change. All changes in flower(s)/prices will be discussed with the client/undersigned before the event and will require a signed approval for that particular change or confirmation via email/messaging between both parties. 

6.6 Once material(s) have been purchased for an event/function based on item(s)/service(s) stipulated in invoice/quote, they cannot be changed and/or swapped out unless otherwise confirmed by Limitless Events and Party Planners. The client(s)/undersigned must therefore be sure of the design they would like, as Limitless Events and Party Planners will require a signature or agreement in writing on all approved drafts. 

6.7 Should the client(s)/undersigned want designs or papers swapped, this will be at the discretion of Limitless Events and Party Planners and at an extra fee.

7. Staff and Assistance

7.1 Staff and Assistance will be at an additional cost and is subject to the event/function size.

7.2 Staff and assistance offered can be considered as: barmen, waiters, set-up and clean up staff etc.

7.3 All items and services not included in the quote/invoice, unless specified and agreed upon by Limitless Events and Party Planners, will be charged at an additional cost to the client/undersigned. A few of this type of services are listed below as examples: 

  • RSVP for Invitations;
  • Venue searches and site visits;
  • Other service provider item searches;  
  • Personalised serving of food to guests/parents;
  • Honeymoon arrangements;
  • Honeymoon suite arrangements; 
  • MC Speech Writing; 
  • Delivery of invitations/Thank you item;
  • Organisation of child minders or caregivers for children etc.

8. The VALUE we provide

8.1 Limitless Events and Party Planners takes pride in providing services which gives the client(s)/undersigned more than one option when possible. Some décor items and services are outsourced, to essentially provide the client(s)/undersigned with a large number of choices in order to assist with their requirements, where applicable.

8.2 All packages are tailor-made to the needs of the client/undersigned, and will be worked within the budget of each client/undersigned, where applicable. 

8.3 Limitless Events and Party Planners will take no responsibility for service providers service delivery or lack thereof, should the client/undersigned outsource these service providers at their own discretion. Limitless Events and Party Planners will manage these service providers as much as possible but will not be held liable for misconduct/unwarranted behaviour etc.

8.4 Limitless Events and Party Planners will only make use of their preferred list of subcontracted service providers, as this will assist to ensure the client/undersigned receives the best level of service delivery and quality. Limitless Events and Party Planners therefore withholds the right to not use subcontracted service providers suggested by the client/undersigned if Limitless Events and Party Planners is not comfortable with a subcontracted service providers service level or quality

9. Confidentiality

9.1 No ideas, sketches, pictures or designs may be utilised with any function not performed by Limitless Events and Party Planner. All ideas remain the property of Limitless Events and Party Planners and confidentiality is enforced. 

9.2 Should Breach of section 9.1 occur, Limitless Events and Party Planners withholds the right to charge for designs and concepts used directly to the client/undersigned, and can too withhold any deposits OR any fees paid in line with the payment plan stipulated in section 3.2. 

9.3 Limitless Events and Party Planners enforces confidentiality of ideas, sketches, pictures and designs of the client/undersigned. This will not be discussed with other client(s)/undersigned and is only able to be used as examples after the event is completed. The client(s)/undersigned permit Limitless Events and Party Planners to therefore use all imagery taken during the event of any design to be displayed as examples.

10. Discounts

10.1 Discounts will only be awarded to the client(s)/undersigned at the discretion of Limitless Events and Party Planners, and where Limitless Events and Party Planners feels it is necessary and is based on merit.

11. Transport

11.1 Pricing of hired item(s) and or service(s) does not include transport costs. The client(s)/undersigned will be charged additionally for transport costs accordingly (area dependent).  Standard transport fee rates apply from Monday to Saturday during working hours. Additional transport costs are charged on Sunday’s, Pubic Holidays and after working hours. 

12. Collection and Return of Rented Items

12.1 All rented items are to be collected from Limitless Events and Party Planners offices (55 Walnut Road, Wetton) between 11h00 and 16h00, on a day specified by Limitless Events and Party Planners, unless otherwise specified. All rented items are to be returned to Limitless Events and Party Planners offices no later than 14h00 on a day specified by Limitless Events and Party Planners, unless otherwise specified. Should the client/undersigned fail to adhere to these times, the client/undersigned will forfeit their deposit. 

12.2 Should the client/undersigned rent items on days that fall part of a weekend (Friday, Saturday and Sunday), client(s)/undersigned need to collect rented goods on Friday and return rented goods on Monday or unless otherwise stipulated by Limitless Events and Party Planners. Should the client/undersigned fail to adhere to these times, the client/undersigned will forfeit their deposit.

12.3 Should the client/undersigned rent items on days that fall part of the week (Monday to Thursday), rented items may be collected as follows unless otherwise stipulated by Limitless Events and Party Planners:

  • the prior day or
  • on the day between desired collection times mentioned in 12.1

All items to be returned the following day after the rentals had been booked for within the desired return times mentioned 12.1.

13. Cancellation Policy

Cancellation and/or alterations of item(s)/service(s) or full bookings due to any unforeseen circumstances i.e. natural causes / disasters / etc.

13.1 Cancellation of a complete booking will result in forfeiting the 10% non-refundable deposit.

13.2 Cancellation of your complete booking: 25% of the total amount paid of the booking is non-refundable after an order is confirmed, should you request to cancel more than 30 calendar days prior to your event / booking date (at the discretion of Limitless Events and Party Planners). Should item(s)/service(s) that are specifically bought/ hired or made are in place for your order at this time of cancellation, the full amount for that ‘particular’ item(s)/service(s) will not be refunded.

13.3 Cancellation of your complete booking: 100% of the total amount paid of the booking is non-refundable after an order is confirmed, should you request to cancel 30 or less calendar days prior to your event / booking date (at the discretion of Limitless Events and Party Planners).  

13.4 No alterations/reductions to orders will be accepted 14 calendar days prior to the hiring date without being charged for. Any reductions after this time will be charged at a 50% cancellation fee per item(s) which is being reduced (at the discretion of Limitless Events and Party Planners).

13.5 No alterations to orders will be accepted 7 calendar days prior to the event/hiring date. Any reductions will not be considered and no refund will be applicable. Any increase to orders will be subject to availability (at the discretion of Limitless Events and Party Planners).

13.6 No refunds will be given to the client/undersigned for items that was hired from Limitless Events and Party Planners as well as items of subcontracted suppliers , that was not used during the time specified on the quote/invoice/delivery note i.e. the date out until the return date (e.g. décor, furniture, the gas for outside heaters etc.). This is applicable even if the client/undersigned returns the items on the same day of delivery/collection of items.

14. Acceptance of terms and conditions

14.1 Limitless Events and Party Planners shall be entitled, but not obliged, to cancel all existing hire contracts with the client/undersigned, without notice to the client/undersigned, and shall be entitled to the immediate return of all goods on hire to the client/undersigned.

14.2 The client/undersigned furthermore agrees to be liable for all Limitless Events and Party Planners legal costs for the attorney/client/undersigned scale, including collection commission, in respect of any proceedings instituted by Limitless Events and Party Planners for the recovery of any amounts owning by the client/undersigned in terms of the agreement.

14.3 Terms and conditions must be printed, signed and emailed together with the proof of payment to Limitless Events and Party Planners. Once payment is received and should Limitless Events and Party Planners not receive signed terms and conditions, the payment will be considered as an acceptance of the terms and conditions.

16. Compulsory

Terms and conditions are subject to change and an updated copy will be placed on Limitless Events and Party Planners official website when applicable. The client(s)/undersigned are advised to always make sure they have an updated version of the terms and conditions or to request a copy at all times.
